Santara AI vs Cloudbeds

Cloudbeds is built for a hotel front desk and does that well, with 450+ channels behind it. Santara AI is built for villas, homestays and apartments run by a small team that is rarely at a desk — and every tier of ours has a price on the page.

Choose Santara AI if…

  • You run villas, homestays or serviced apartments, not a building with a reception desk.
  • Your team is a few cleaners and a manager on WhatsApp or Zalo, not staff logged into a PMS all day.
  • You want to know the price before a demo: ours is published from one door to forty and beyond.
  • You want AI to draft guest replies and a person to press Send, and a 6am brief of what needs doing today.
  • You manage for owners and need a monthly owner statement in the same system.

Choose Cloudbeds if…

  • You run a hotel, hostel or B&B with a front desk: check-in, check-out, room status and payments at the desk are the daily work.
  • Channel breadth decides it. Cloudbeds lists 450+ global, regional and niche channels, including GDS wholesalers; we connect 54.
  • You want a POS, revenue management and a large app marketplace wired into one hotel platform.
  • You are a hotel group that needs centralised reporting across several properties with a sales-led rollout.

The money questions

The money questions — Santara AI / Cloudbeds
CapabilitySantara AICloudbeds
No commission on channel bookingsAirbnb, Booking.com and every channel you sell on Why?

Both of us take nothing from channel bookings — Cloudbeds says "zero added commissions" on its channel manager. Santara AI also takes 0% on upsells and 3% only on direct bookings through its optional booking site.

YesYes
No per-reservation or booking feeA flat fee taken out of every stayPartialYes
No commission on guest upsellsLate checkout, transfers, breakfast Why?

We found no upsell commission stated on Cloudbeds' pages, but upsells come with Guest Experience, which sits on their higher plan. Not published is not the same as none, so this cell stays partial. Ours is 0% on every plan.

YesPartial
No onboarding or setup feeNothing to pay, for anyone Why?

Cloudbeds offers self-serve onboarding, with coached onboarding and premium support arranged through sales, and its Websites add-on carries a one-time setup fee. None of those amounts is published. Ours is nothing, for anyone.

YesPartial
No annual contract or lock-inLeave any month and take your data Why?

Their Terms of Service allow both month-to-month and fixed-term subscriptions; which one you get is set in your order form. We are month to month for everyone, with a full export on the way out.

YesPartial
Published price at every tierNo “contact sales” to find out what you pay Why?

Every Cloudbeds plan — Flex, One, Experience, Enterprise — ends in "Request a quote". We will not put an estimate in their column, so it says Quote only. Every Santara AI tier is on the pricing page.

YesQuote only
Dynamic pricing without a per-property surchargeSeasonal and day-of-week rate plans included; ours stands down if you run PriceLabs Why?

Revenue Management is listed as an add-on on Cloudbeds' pricing page, with recommendations you can accept or let run on autopilot. Our smart pricing rules are included in the plan.

How it actually runs

How it actually runs — Santara AI / Cloudbeds
CapabilitySantara AICloudbeds
Proactive daily operations briefEvery arrival, departure, clean, upsell and problem — emailed to you before you ask Why?

Cloudbeds has strong reporting and an on-demand AI assistant it describes as coming soon. What it does not do is arrive by itself: arrivals, departures, cleans and open tickets, ordered and waiting at 6am.

YesNo
One-tap WhatsApp and Zalo staff plansEach cleaner's day, pre-written and shared to the app they already use in one tap, no new login Why?

Cloudbeds uses WhatsApp to talk to guests. Its housekeeping lives inside the PMS, which suits a hotel team on shift. Ours writes the day's cleaning plan for the housekeeper and shares it to the WhatsApp or Zalo already on their phone.

YesNo
Built for on-site teams, not solo desk hostsDesigned around housekeepers, drivers and villa managers Why?

Both do this. Cloudbeds' housekeeping shows clean and dirty rooms in real time to the whole team — a front-desk model, and a good one. Ours is shaped around villas spread across a town rather than floors of one building.

YesYes
Maintenance tickets with photo evidenceRaised, assigned, chased and closed per propertyYesYes
AI guest messaging with human approvalDrafted in your voice; nothing sends until you say so Why?

Cloudbeds' AI can answer guest requests automatically by SMS, WhatsApp or chat. Their pages do not say whether a person approves a reply before it sends. Ours always drafts, and a person always presses Send.

YesPartial
Owner-ready statementsReports your villa owners can actually read Why?

No owner statements on the Cloudbeds pages we checked — it is built for a property that owns its own revenue. If you manage villas for owners, ours produces the monthly statement: gross minus fees minus expenses, with a CSV export.

YesNo
White-label for management companiesYour brand in front of your ownersNoNo
Multi-currency and SE Asia operating realityLocal staff workflows, and prices and statements in IDR and VND Why?

Cloudbeds sells in many currencies through its channel manager and booking engine, and has real customers across South-East Asia. Its pages do not describe dong or rupiah billing, or staff workflows over Zalo. Ours prices in VND and supports IDR.

YesPartial
Direct booking siteSeven templates built from listings you already imported, selling from the same synced calendar. Direct bookings carry a 3% commission. Why?

Both, and theirs is commission-free too. Cloudbeds' booking engine is included from the One plan; its full Websites product has a setup fee and a monthly fee. Ours is optional, takes 3% only on direct bookings, paid by the guest.

A front desk versus a villa with a WhatsApp group

Cloudbeds is designed around a building with a reception: one-click check-in and check-out, payments built in, a housekeeping board showing the whole team which rooms are clean. For a hostel in Chiang Mai or a 30-room boutique hotel in Hội An, that is exactly the right shape.

A portfolio of eight villas in Canggu or a dozen apartments in Đà Nẵng does not have a desk. Guests self check-in, cleaners move between addresses, and the manager is on a scooter. Santara AI is built for that day: a 6am brief, a cleaning plan shared to WhatsApp or Zalo, maintenance tickets with photos, and AI-drafted replies you approve from your phone.

Four plans, no prices

Cloudbeds' pricing page is clear about what each plan includes — Flex is the PMS and payments, One adds the channel manager and booking engine, Experience adds guest messaging and reputation tools, Enterprise is custom. It is not clear about cost: every plan is a quote, and add-ons such as Revenue Management and Websites are priced the same way.

We are not going to quote a review site's figure as theirs, so our cost table says Quote only in their column. Ours is published: the ladder on our pricing page covers one door to forty and beyond, and the first three months are free.

Where they genuinely beat us: hotel depth and reach

Cloudbeds lists 450+ channels, including regional OTAs, metasearch and GDS wholesalers. We connect 54 — Airbnb, Booking.com, Agoda, Expedia, Trip.com and Google Vacation Rentals among them — which covers what most villa and apartment operators sell on, but not a hotel's corporate and wholesale distribution.

They also go deeper on hotel operations: front-desk workflows, payments built into the PMS, a marketplace of POS and other hotel systems, and a revenue management product with its own AI. If those are the job, Cloudbeds is the better buy and we would rather say so.

Where Cloudbeds is stronger

Every comparison page on this site carries this section. If one of these decides it for you, buy theirs.

  • Front-desk operations: one-click check-in and check-out, built-in payments and the reception workflows a hotel runs on. We do not have a front desk.
  • Channel breadth: 450+ global, regional and niche channels including GDS wholesalers, against our 54.
  • Hotel depth around the PMS — POS and other systems through their marketplace and open API, plus a revenue management product. We have neither a POS nor a public API.
  • Multi-property hotel groups: centralised reporting and an enterprise rollout run by their own team and certified consultants.
  • A long track record with hostels and boutique hotels, including in South-East Asia.

Switching from Cloudbeds

  • Free migration, run by us: properties, rooms, rates, availability, reservations and guest history.
  • Channel connections are re-established on our side; nothing on Cloudbeds is switched off until you have confirmed the calendars match.
  • Check your Cloudbeds order form first — their terms allow fixed-term subscriptions, billed to the end of the term — and save any Websites content yourself, since their terms say site export is not supported.
  • Month to month here, no exit fee, full export, and the first three months free while you run both.

Questions people actually ask

How much does Cloudbeds cost?

They do not publish it. Every plan on their pricing page — Flex, One, Experience and Enterprise — is a quote, and so are the add-ons. We will not repeat a review site's number as theirs, so our cost table says Quote only. Ours is on the pricing page at every size.

Is Cloudbeds good for vacation rentals and villas?

It can run them — it has a vacation-rental page and a solid channel manager. But it is designed around a hotel front desk. If you have villas or apartments spread across a town, a small team on WhatsApp or Zalo, and owners who expect monthly statements, Santara AI is built for that shape and Cloudbeds is not.

Cloudbeds vs Santara AI: which has more channels?

Cloudbeds, clearly. They list 450+ channels including GDS wholesalers; we connect 54, including Airbnb, Booking.com, Agoda, Expedia, Trip.com and Google Vacation Rentals. If breadth is what decides it, buy theirs.

Does Santara AI have a front desk or POS like Cloudbeds?

No. There is no front-desk module and no POS. If you run a hotel or hostel with a reception, that is a real reason to choose Cloudbeds.

Does Cloudbeds take a commission on bookings?

Not on channel or booking-engine bookings, by their own pages. Santara AI takes 0% on channel bookings and upsells and 3% only on bookings through its optional direct booking site, paid by the guest. On commission the two are close; the difference is a published price.

Am I locked into a contract with Cloudbeds?

It depends on your order form: their terms allow both month-to-month and fixed-term subscriptions, and fixed terms are billed to the end. Santara AI is month to month for everyone.
