How to choose villa management software for 1–20 villas

Villas are not hotel rooms. What changes at 1–3, 4–10 and 11–20 villas, which software you need at each stage, what can wait, and the questions to ask any vendor.

Most rental software was built for hotels or for city apartments. A villa is neither. This guide covers what makes villas different and what software you actually need at 1–3, 4–10 and 11–20 villas, whether you host in Bali, Phú Quốc, Phuket or Siargao.

Why villas are different

  • One listing is one unit. Guests book the whole villa, not a room.
  • People, not a lobby. A housekeeper, pool guy, gardener, driver and often a villa manager.
  • Owners who don't operate. Many villas belong to someone else, often overseas, who wants a clear monthly statement.
  • High nightly rates. One double booking or one bad review costs more than a month of software.
  • Guests ask for things. Drivers, chefs, late checkout, longer stays, arrivals at 23:00 that need door codes.

Why hotel and Airbnb-only tools fit badly

Hotel software prices per room and assumes a front desk, hourly shifts and a POS. Villas have no lobby. You pay for modules you will never open.

Airbnb-only tools work until you add Booking.com, Agoda or Traveloka. Then calendars drift, and you are back to blocking dates by hand. Domestic travellers in Indonesia, Vietnam and Thailand book heavily on Agoda, Traveloka and Trip.com, so a villa that lives only on Airbnb leaves dates empty.

1–3 villas: the owner runs it

You answer guests from your phone and remember every check-out. What breaks first is the calendar: a booking on Agoda that never reached Airbnb.

You need one calendar synced to every site you sell on, and a simple cleaning list your housekeeper can see. A guidebook with Wi-Fi and the door code saves you the 23:00 phone call.

You can skip AI, upsells and statements for now. If you own the villas yourself, a statement has no reader yet.

4–10 villas: the first team

Now there are cleaners, a pool team and maybe one owner you manage for. Plans go out late, a repair nobody logged fails mid-stay, and replies sit unanswered overnight.

You need a cleaning board built from real check-outs, maintenance tickets, one inbox for guest messages and a monthly owner statement. At this size, the inbox matters more than any pricing tool: a fast, correct reply protects a $300 night.

You can wait on cleaning clusters and pricing rules. Eight villas still fit in one head, as long as the plan is written down.

11–20 villas: areas and a villa manager

Villas spread across Canggu and Uluwatu, or two ends of Phú Quốc. A villa manager runs the day; several owners want their numbers.

You need cleaning grouped by area, a morning summary so the manager starts with the full picture, and statements per owner. Upsells start to add up too: a late checkout or an extra night across 15 villas is real money each month.

What breaks here is rarely the software. It is the handover between you and the manager, so the tool has to show the same truth to both.

Questions to ask any vendor

  • Do you price per listing or per room? A villa should count as one.
  • Which OTAs connect, including Agoda, Traveloka and Tiket.com?
  • Which channels' guest messages reach the inbox, and who presses Send?
  • How does the cleaning plan reach my team on WhatsApp or Zalo?
  • Can I produce owner statements with expenses?
  • Is the app in my language, and is pricing in my currency?
  • Is there a contract, setup fee or onboarding fee?
